The challenge
Standard Dynamics invoicing was built for simple, one-shot bills. Project and cross-border billing quickly runs past what it can do.
Out of the box, an invoice is only active, paid, or canceled. There is no deposit, progress invoice, final invoice, or credit note, and no way to net a deposit against a final bill. Every billing pattern is built by hand.
Advance invoices, running balances, and a final invoice that deducts what you already billed are not native. Teams track them manually, and the tax point on advance payments is easy to get wrong.
Native numbering is a short shared prefix with no yearly or monthly reset and gaps when records are created offline. Tax authorities increasingly expect a unique, sequential, reconstructable number.
Word templates stop at 100 line items, handle one record at a time, and have no subtotaling or grouping. A branded, multi-page, multi-language invoice with a correct tax breakdown becomes a project of its own.
Dynamics does not calculate tax for you. Every line is keyed by hand and the total is just a sum. Building invoices from catalog products or tracked time is copy-and-paste work, and that is where most errors start.
An EU invoice needs VAT breakdowns and, increasingly, a structured e-invoice. A US invoice faces sales-tax rules that change by state and locality. Serving both sides of the Atlantic from one system is genuinely hard.

Advances roll up into the final invoice. The final invoice deducts prior advances and bills only the remaining balance, and order rollups keep that balance current as the project moves.
